NOTE: The below content is only for those clubs who do not currently use PowerUp as their registration software. Syncing of players, team staff and teams for clubs using PowerUp is managed in the club's PowerUp instance itself. For help with this, please see the Reporting Players to the Ontario Soccer Govern Module (PowerUp Clubs) article instead.
Before any teams can be approved, or rosters created for the season, you'll need to get your players and team staff into the Ontario Soccer Govern module. For clubs not using PowerUp as their registration software, this is done via an Import.
Instructions
- After logging into your club's instance on the Ontario Soccer Govern module, navigate to the Import menu item in the Govern Navigation menu on the left.

- If needed, you can use the link at the top of the page to download a CSV template file. Using this template will ensure the smoothest possible importing process.

- To begin your import, select the Season to which you are importing your players/team staff. Once you do, you'll see a prompt for you to select the file you wish to upload. Click to select the file, or use the drag and drop.

IMPORTANT FILE NOTES: You can import both players and team staff in the same import file. Use "PLAYER" for players and "COACH" for team staff. (Don't worry - you can set their specific role before submitting to your district!) You can import multiple teams or age groups in the same import file. You can import both recreational and competitive players/team staff in the same import file.
- Upon selecting your import file, you'll be presented with a summary of the data for your review. If you used the provided template, the columns will all be correctly matched (mapped). However, if needed you can change the assigned columns using the dropdowns.

Re-mapping a column. - When ready to proceed, scroll down to the bottom of the page. Here you'll find a Waiver confirmation asking you to confirm all registrants have completed the required waivers. Once you check the box to confirm, click the Validate button to proceed.

- You'll be presented with the Validation Results and an Import Preview, summarizing the actions to be taken upon completing the import. When ready to complete your import, click the Import Data button.

If there are any issues with the import data (e.g. incorrectly formatted DOB, the player has already been imported) these errors will be listed.
You can choose to skip the rows with errors and import only the valid data
A download file for the rows with errors will be available, which you can use to correct the data and then later upload.

This will summarize the actions to be taken upon completing the import - specifically, any teams to be created (or updated if the team has already been created) and the number of players and/or team staff for each.

QUICK TIPS: After importing, you'll be given the opportunity to download your successfully imported data if you wish. Forgot to include the Team Name in your import? No worries! You can manually create a team and add the players from your import to it! See the Managing Teams article for more details.

Importing FAQs
Can I import multiple teams at once?
Yes! You can import players and/or team staff from multiple teams in the same file, even if they are recreational and competitive teams.
The team was already created in a previous import I did. Can I still use the "Team" column in the import file?
Yes! Where a team already exists in the system, the import will update that existing team with any players/team staff with that team listed in the "Team" column in the import.
What format does the DOB need to be in?
YYYY-MM-DD
What are the Member Roles that can be used?
You can use:
- PLAYER (for players)
- COACH (for team staff)
Do I need to include the SEOS numbers for my members in the import file?
No, all players and team staff will receive new Ontario Soccer ID numbers once they are imported into the Ontario Soccer Govern module for the first time.
After they receive their new number, we recommend including that on all imports for future seasons.
What "Levels" should I be using for the import?
You can use:
- Recreational
- Competitive
What are the "age groups" available to import to?
If you navigate to Admin >> Age Groups in the Govern Navigation menu on the left, you can see the list of age groups (as made available by the governing body).
